How to export SAP Concur receipts in bulk: the 5 methods compared
You can extract receipts from SAP Concur in five ways: download them report by report, use an Accounting Extract that bundles receipt images into a PDF, subscribe to the Image Delivery Extract (a daily zip delivered by SFTP), retrieve them through the Concur APIs, or use a dedicated tool such as TEVASOFT Smart Extract. Each native option trades off filtering, volume, cost or technical effort. This guide compares them.
The short answer
- Need everything, unfiltered, on a recurring basis: the Image Delivery Extract (SFTP).
- Need a specific subset (category, period, country, amount): an API integration or Smart Extract. The Image Delivery Extract does not filter.
- Need history: a historical Image Delivery Extract, requested through SAP Concur support (billable).
- Need only a few receipts: download them from the expense report.
The 5 methods to extract receipts from SAP Concur
| Method | Filtering | Volume | Effort and cost | Output |
|---|---|---|---|---|
| Manual download (per report) | By report only | A few receipts | No setup | Individual images |
| Accounting Extract | Depends on the scope of the configured extract | Regular runs | Configured by the Concur administrator | Processed transactions + one PDF combining the receipt images of each report |
| Image Delivery Extract (IDE) | None: all images | Bulk, daily delivery | Daily: free if Concur SFTP is enabled, otherwise SFTP setup is quoted. Historical: request through SAP Concur support, billable by image size and processing time | Zip delivered by SFTP (5 MB max per image, 500 MB max per zip, split into numbered zips) + an index file (employee ID, report ID, report key, image ID) |
| Concur APIs (Reports v3 + Image v1, Spend Documents v4) | Yes, by filter criteria | Designed for individual retrieval, not bulk retrieval and long-term storage | Development + Web Service Administration role; the public SAP sample is provided as-is | Image files via API |
| Smart Extract for SAP Concur | Natural-language query and filters: period, entity, department, category, employee, country, currency, VAT rate, audit status, receipt type | Bulk | Describe the scope in plain language, no scripting | Receipts + matching expense data, exported to Excel, CSV, JSON or an API feed |

When do you need to extract receipts?
Tax or VAT inspection
Produce the receipts for a given period, entity or expense category.
Internal or external audit
Build a set of documents consistent with the expense lines under audit.
Client rebilling
Gather the receipts and expense data for the costs to rebill.
Archiving or changing tools
Keep receipts and their data outside Concur, for example before a migration.
Anomaly follow-up
Retrieve the documents of expense reports flagged by an audit such as EVA's.
How Smart Extract extracts receipts
Smart Extract understands requests expressed naturally, applies the matching filters, then delivers the receipts together with the associated expense data. A few example requests:
- "All catering receipts above €80 in Q3, by department."
- "Hotel receipts for Italy since SdI went into effect."
- "Expense reports with VAT above €100 without a compliant receipt."
- "Receipts for client X to prepare rebilling."
- 1
Ask your question
In natural language, the way you would ask a colleague.
- 2
Interpretation
Smart Extract identifies the intent and the relevant fields.
- 3
Filtering
The criteria are applied automatically across the expenses.
- 4
Export
Receipts and their data are delivered as Excel, CSV, JSON or through an API feed.
"Receipt extraction": two possible meanings
- Extracting receipts out of SAP Concur (the subject of this page): retrieving the images and their data for an audit, rebilling or archiving.
- Extracting the data from a receipt image (OCR) at submission time: reading merchant, date, amount and VAT. That is a different topic, handled by EVA for auditing.
Frequently asked questions
How do I download all receipts from SAP Concur?+
There is no single button to download a filtered set. The native options are the Image Delivery Extract (a daily zip by SFTP, all images, no filter), a historical extract requested through SAP Concur support (billable), the Concur APIs (filters are possible, but development is required), or a tool such as Smart Extract that lets you describe the subset you want.
Can I filter the Image Delivery Extract by category, date or country?+
No. According to SAP guidance, the Image Delivery Extract delivers images without filtering. To target a subset you need the APIs (for example Reports v3 to list reports by criteria, then Image v1 to fetch each image) or a tool built on top of them.
What is the SAP Concur Image Delivery Extract?+
It is a service that delivers, at regular intervals and by SFTP, a zip file containing receipt and invoice images from every channel (fax, email, upload, mobile) and every Concur module (Expense, Invoice, Travel), together with an index file.
Are there size limits?+
SAP states a limit of 5 MB per image and 500 MB per zip file. Larger deliveries are split into numbered zip files (for example 1of2, 2of2).
Does the historical extract cost money?+
Yes: SAP describes it as billable, based on the size of the images in the requested date range and on processing time. You request it by opening a case with SAP Concur support, giving a date range or a list of reports.
Can I use the API for bulk extraction?+
The Concur APIs can retrieve images by filter criteria, but SAP positions them for individual retrieval on demand, not for bulk retrieval and long-term storage. That route also requires the Web Service Administration role and development work; the public SAP sample is provided as-is.
Can I extract receipts for an audit or a VAT inspection?+
Yes. The typical need is to produce a defined set (period, entity, category) with the matching expense lines. That is a filtering problem: it is solved through the APIs or with Smart Extract, which delivers receipts together with the associated expense data.
What is the difference between receipt extraction and receipt OCR?+
Receipt extraction means retrieving the documents out of the expense tool. OCR means reading the content of a receipt image (merchant, date, amount, VAT) to enter or check the expense.
Does Smart Extract replace SAP Concur extracts?+
No. Smart Extract works alongside your expense tool, SAP Concur: it is used to query and export data and receipts according to your criteria.
